Am I able to come and take a look around Bearsville?
We would be absolutely delighted to welcome you to Bearsville and show you around the entire site and discuss your vision and how Bearsville could work with you.
We extend that invitation to not only you as a couple by any family that would be part of our key planning party. You can book a tour online by clicking here or reach out directly to geanine@bearsvillecenter.com to schedule this with you. We very much look forward to showing you around!
How can I reserve a date?
If you come and visit Bearsville, we would be able to liaise with you and book your preferred date at that time. Or simply email geanine@bearsvillecenter.com with the specific date(s) and she will confirm availability with you.
However, please note that your reservation will only be confirmed once we receive a non-refundable deposit to hold your date. Within 48 hours of booking, we’ll send you a contract to finalize the reservation.
What is the minimum and maximum number of guests?
Our venue can accommodate a minimum of 100 guests for indoor receptions which will include the Bearsville Theater. We can host a maximum of 175 guests seated.
If you’re planning an outdoor event, we can expand the capacity to a maximum of 500 guests with an all seated reception, within an elegant outdoor tent.
Do you offer in-house catering?
Yes, our exclusive catering partner is Full Moon. They provide exquisite food, with a range of styles and cuisines to suit your wedding and budgets. They also have the highest standard of hospitality and service, to make sure your guests are treated to an exceptional standard.
We thoroughly recommend working with Full Moon, to ensure the highest level of quality that we can guarantee for your day. However, if you wish to bring in a different caterer of your preference, you are of course welcome to do so. However, a catering buyout fee will apply. We’re happy to discuss any specific needs you have to make sure that the catering is perfect for your day.
Do you have a list of recommended vendors?
Absolutely! We provide a curated list of preferred vendors, including live bands, florists, wedding planners, photographers, DJs, and more. Our trusted vendors are familiar with our venue and can help bring your vision to life seamlessly.

What is the typical wedding timeline?
Most of our weddings start with guest arrivals at 4 p.m., and the main event concludes by 10 p.m.
If you’d like to keep the celebration going, we offer an option for an after-party in our club style venue Utopia, that can extend until 12:30 a.m. We have a very well-crafted schedule that ensures that your day runs to plan and completely seamlessly.
Is there an option for hourly rental?
Unfortunately, we are unable to offer any of the site for hourly rentals, but we are able to cater and have a number of packages available for private parties, corporate events, Bar Mitzvahs, Bat Mitzvahs, and more. Let us know what you have in mind, and we can help tailor a package to fit your event
Is hiring a wedding planner required?
While hiring a wedding planner is not required, we highly recommend it to help make your day as smooth and stress-free as possible.
There are some very talented planners in our area. We’d be glad to provide information on our top recommendations of those we have worked with on many occasions.
Can we have an outdoor ceremony and reception?
Certainly! We offer beautiful outdoor spaces for both ceremonies and receptions. If needed, additional tents and amenities can be arranged for an added fee to ensure your guests are comfortable and the event is flawless no matter the weather.
Fall and Winter weddings are proving to be some of the most popular times to get married, and the Park looks even more stunning with the beautiful Fall Colours.
What happens if it rains?
We understand that weather can be unpredictable, which is why a backup ceremony tent is included in the site fee.
This tent will be set up in Bearsville Park so your special day can continue seamlessly, rain or shine.
Do you provide separate spaces for the couple and their wedding parties to get ready?
Yes, we do! We offer exclusive access to our couples beautiful dressing rooms, as well as our VIP Green Room. Here we can provide drinks and food if required, to you and your wedding party before the main event, so you can enjoy time together before the ceremony takes place.
Whilst we don’t have our own stylists, you are of course welcome to bring your own, and we have full bathroom facilities, including private shower rooms, plus the perfect lighting and mirrors for all your hair and make-up needs. We can show you all these facilities as part of a private venue tour that we offer.
Are there local hotels for guests?
Yes, there are a number of wonderful boutique and chain hotels within a 20-minute drive, offering a range of accommodations to suit your guests’ needs and budgets.
